Training scheduling softwareWho is teaching where, on one calendar.
Cademy is training scheduling software for professional training providers. Course dates, facilitators and venues share a calendar you can view by month, week, year, timeline or list, and each date syncs to the facilitator’s Google or Outlook calendar.
Add a date from a gap on the timeline and move it by dragging. The facilitator is emailed when they are assigned and again when the date moves.
Views
- Month, Week, Year, Timeline and List views
- Search in every view
- Weekends hidden if you never teach on them, with public holidays marked
Grouping
- By facilitator, location or team
- Your filter remembered for the next time you open the calendar
On the timeline
- Click a gap to create a date
- Drag a date to a new time
- Hover and duplicate for the next run of the same course
Set the venue once per course.
Save your venues and give each course a default, and a new date starts in the right room. A date at a client’s office takes a one-off address instead. A course that runs Monday to Thursday is blocked across all four days.
Venues
- Saved venues to choose from on each date
- A default venue per course that every new date starts from
- A one-off address for a single date
- Group by location to see what is on in each venue
Several days
- Block a session across as many days as it runs
- Shown from the first day to the last on the calendar
- How courses and dates are built
Facilitators know where they are teaching.
Assign a facilitator to a date and Cademy emails them. Change the date and they hear about that too. Signed in with the Facilitator role, they see their own dates.
Their dates
- An email on assignment and when a date changes
- Their own view with only the dates they run
- Facilitator seats for 2 people on Free, 10 on Pro and 50 on Teams
Calendar sync
- Google and Outlook, connected by each facilitator
- Events written with the course, venue and times
- Busy times read, so you see who is free before you assign them
- Google Calendar integration
Live online
- A Zoom meeting created for each date once Zoom is linked
- In person, live online or blended dates on the same calendar
Each date comes with its register.
Everyone booked onto a date appears on its attendance register. Tick people off as they arrive or mark the group attended in bulk. Each person marked attended gets their certificate.
On the day
- An attendance register for every date
- Bulk attendance for a full room
- Certificates issued on attendance and emailed, with custom templates from Pro
- CPD points and hours added to the registration, from Pro
- How certificates work
Before the day
- Reminder emails to learners a week out, a day out and an hour before
- A booking-moved email when someone changes date
- Every automation
- How to reduce no-shows
From an empty slot to a full register.
Add the date
Click a gap on the timeline. The course’s default venue fills in, or type a one-off address for this date.
Assign the facilitator
Check who is free from their synced busy times. Once assigned, they get the email, and the date goes into their connected calendar.
Take the register
Bookings arrive on the date from your website. On the day, mark attendance person by person or all at once.
About scheduling.
What is training scheduling software?
Software for planning when and where courses run and who teaches them: course dates, venues, facilitators and the register for each date. In Cademy the calendar is part of the training management system, so the date you schedule is the date people book.
Which calendar views does Cademy have?
Month, Week, Year, Timeline and List. Any of them can be grouped by facilitator, location or team, search works in every view, and Cademy remembers your filter for next time.
Does it sync with Google Calendar and Outlook?
Yes, on every plan. Each facilitator connects their own Google or Outlook calendar. Cademy writes the dates they run to it, with the venue and times, and reads their busy times so you can see who is free before you assign them.
Can one session run over several days?
Yes. Block a session across the days it needs and it shows on the calendar from the first day to the last, with its facilitator and venue.
How do facilitators find out about their dates?
They get an email when they are assigned to a date and another when the date changes. With the Facilitator role they see their own dates in Cademy, and with calendar sync those dates are in their own diary.
Can I bring my existing dates across?
Yes. Import courses, dates and registrations from a spreadsheet on every plan, Free included. On Teams our team helps with the migration, and Enterprise gets a hands-on migration.
