Training management systemRun the day without the admin running you.
A training management system (TMS) runs the business side of training: scheduling, bookings, facilitators, registers, invoices and reporting. Cademy’s is built for commercial training providers, with public and private courses on one record.
Dates, facilitators and links in one place. Attendance registers. Reminder emails, overdue reminders and reporting that run on their own.
Scheduling
- Dates, venues and facilitators in one place
- Busy times read from connected calendars
- Google and Outlook calendars synced
- Registers: attended or absent, per date
Roles
- System admin: the whole operation
- Course owner: their courses, learners and reports
- Facilitator: their dates and registers
Getting paid runs itself too.
- Invoices raised on booking, with PO numbers and net terms
- Multi-currency: charge and invoice in £, $, €, AU$, NZ$ and more
- Tax profiles: a rate and label per country, on Teams
- Synced to Xero, with your PO or reference
- Deposits and instalments, on Teams

It sends links automatically, keeps the tax side tidy, and the Xero sync just works without any fuss.
One calendar for every date, facilitator and venue.
Month, week, year, timeline or a list. Group it by facilitator, location or team. In the timeline, drag a date to change its time and click a gap to add one.
Views
- Month, week, year, timeline and list, one click apart
- Grouped by facilitator, location or team; filter by either
- Timeline: drag to change the time, click a gap to create, hover to duplicate
- Colour per course or date; hide weekends; public holidays marked
- Google and Outlook calendars synced
Every date
- Title, start and end, max spaces, a code, a name learners see
- Public or private: on your website, or linked to one organisation
- In person, online or hybrid; Zoom meetings created for you
- Custom fields on the date: room set-up, parking, budget
- Copy a checkout link for one date, public or private
Facilitators
- Assigned to a date, told by email when it changes
- 24-hour reminder and a calendar invite, each switchable
- Their own seats: 2 on Free, 10 on Pro, 50 on Teams
- Their own view: the Facilitator role sees only their dates
- Notes on the course and on the date, with attachments
Set the course once. Each date starts from it.
Price, capacity, venue and certificate rules live on the course. A new date inherits them, and you change only what is different about that day.

The register that issues the certificate.
Every booking arrives as a registration on the date. Mark attended or absent, and the certificate, CPD and feedback request follow from that.

- Certificates and CPD issue from attendance, automatically
- How certificates work
Moving people
- Move a registration to another date or course, keeping history and certificates

- Feedback requested automatically on completion
- Task sets: the pre-course checklist applied in one click
- How bookings arrive
Type a name. Get the person, the order and the invoice.
Press ⌘K (Ctrl+K on Windows) on any screen and type a name, an email or an order number. Contacts, organisations, courses, orders, invoices and registrations come back together, grouped, with the help articles that match.

What it finds
- Contacts by name or email; organisations and courses by name
- Orders by order or invoice number (Xero numbers too), buyer or course
- Registrations by number, learner, email or course
- Recently opened records, listed before you type
Pages and settings
- Every page and setting by name
- Settings by what they do: type “vat” or “stripe” and Payments comes up
- Help centre articles alongside, opened in a new tab
- Only what your role can open: facilitators and course owners see their part
Built for the keyboard
- ⌘K or the Search button in the menu
- ↑ ↓ to move, ↵ to open, ⌘ ↵ for a new tab, Esc to close
- Every plan, no setup
Two kinds of customer. One record each.
A member of the public and a company sending six staff want different things at checkout and afterwards. Cademy treats them as two workflows on the same system.
Individuals
Someone finds a date and pays by card.
- Contact record: bookings, certificates, emails, notes on one timeline
- Reminders, waitlist, feedback request run on their own
- Their own home: courses, progress, next session, certificates
- Memberships and collections for people who come back
- Selling to individuals
Organisations
A manager books places for the team.
- Organisation record: contacts by email domain, key and billing contacts, parent and subsidiaries
- Private dates linked to the organisation; PO at checkout, invoice on your terms
- The booker manages the places: names later, progress, every certificate
- Registrations and private courses per organisation, for the audit and the renewal
- Selling to companies
Deposits, instalments, invoices and credit notes.
Every order is one page: who booked, who pays, each person and price, the invoices with their payments and refunds. Before a change touches money, Cademy shows in plain English what will be charged, credited or emailed.
At checkout
- Deposit of 1 to 95%, balance due before the course
- Monthly instalments, 2 to 12 payments, reminders and links for each
- Pay by invoice with a PO; invoice-only courses need no card provider
- Approval before an invoice or manual order is confirmed, if you want it
The invoice
- Statuses: draft, awaiting payment, partially paid, overdue, paid, void
- Partial refunds and credit notes, emailed as PDFs; credit kept on account
- One invoice for several courses, or one per course, each sent before that course
- Payment links for the full balance or any amount
Accounting
- Xero: each invoice, payment, credit note and cancellation synced; paid in Xero marks it paid here
- Xero and several tax profiles on Teams; several Xero accounts on Enterprise
- Reports by payment status and by currency
- Every integration
The numbers, from the same record.
Reports read the bookings and invoices you already have. Nothing is re-keyed into a spreadsheet to find out how the month went.
Reports
Reports
- Revenue and cumulative revenue
- Orders, and orders by source
- Revenue by payment status and by currency
- Top courses, with a date filter
Exports
- Registrations, orders, invoices, payments
- Participants, course dates, contacts, organisations
- Scheduled exports to your inbox, on Teams
- Everything as CSV, at any time
Compliance views
- Registrations by certificate expiry: who is due
- Attendance and completion on every row
- Access expiry for on-demand courses
- The record behind it
The training management systems people shortlist,

Training management in Cademy is not a module bolted onto a booking tool. It reads the same record as the other four products, so a change made once is made everywhere.

What that saves: nothing typed twice, one login for the team, one export when someone asks for evidence, and no sync between tools to break on a Friday afternoon.
Two different jobs. Cademy does both.
People often ask for one when they need the other. Here is the difference.
| Training management system | Learning management system | Cademy | |
|---|---|---|---|
| What it runs | The business of training | The learning itself | Both, on one record |
| Day to day | Dates, bookings, facilitators, venues, registers, invoices | Lessons, video, quizzes, SCORM, progress, certificates | A paid place becomes an enrolled learner. Completion becomes a certificate |
| Who lives in it | Administrators, course owners, facilitators | Learners | Everyone, with their own role |
| Without the other | Learning records sit in a second system | Bookings and invoices sit in a spreadsheet | Nothing typed twice |
Asked before every demo.
Anything else, ask a person.
What is a training management system?
Software that runs the operational side of a training business: course scheduling, bookings, facilitators and venues, registers, invoicing and reporting. It sits alongside, or includes, a learning management system.
What is the difference between a TMS and an LMS?
A TMS manages the business of training: dates, bookings, people and money. An LMS delivers and tracks the learning itself. Cademy includes both on one record.
Does Cademy handle public and corporate courses?
Yes. Public dates sell through your website or booking page. Private and on-site courses are booked for an organisation, with purchase orders and invoices.
How much does Cademy cost?
There is a free plan. Pro is £99 a month billed yearly, or £119 monthly. Teams is £499 a month billed yearly, or £599 monthly. Enterprise is priced to fit.
Does it work with Xero?
Yes. Invoices sync to Xero with your PO or reference, through the Cademy Xero app. The pricing page shows which plan includes it.
What can I bring from my old system?
Contacts, organisations, courses, dates, registrations and orders, from a spreadsheet. There is a dedicated importer for Arlo. Imports are on every plan.
See it with your own courses.
A thirty-minute call, your courses, dates and learners on screen.
No card needed. Import a spreadsheet and run a course this week.
