Teacher developmentTeacher CPD, booked around the school year.

Schools book in waves. INSET dates are fixed before the summer holiday and twilights fill in the first weeks of each term. Conference places sell late, once heads know who can be spared. The school then pays on invoice, and the names of the teachers going often turn up after the order.

Cademy takes those bookings, runs the sessions and invoices the schools for organizations that train teachers and school staff: subject associations and networks, school improvement services, trust and hub CPD teams, and specialist trainers in SEND, EAL and safeguarding.

Term by term

Autumn is the busy one.

A CPD year gets planned over the summer holiday, around dates schools fixed months earlier.

Sep

Autumn term

September opens with INSET, and a school wants a trainer in the hall for the whole staff, often for safeguarding. New subject leaders and early career teachers need a first session before half term. Twilights pick up in October, once timetables settle.

Private dates for one school
Jan

Spring term

Often one more INSET day in January, then the long middle of the year, when subject networks meet and multi-session programs run. Maintained schools close their financial year on March 31, so some budget holders book in February and March before it ends.

Live online twilights on Zoom
Apr

Summer term

Exams keep secondary teachers in school through May and June, and primary has SATs in May. Daytime release gets hard, so after-school and online sessions do better. By July schools are booking for September and want the INSET trainer confirmed before they break up.

Group places, names to follow
For a 4:00 twilight, the last reminder email arrives at 3:00. That is mid-lesson, so it is waiting on the teacher’s phone when the bell goes. The other two go out a week ahead and a day ahead. Course emails and automations
The school as customer

The person who books is rarely the person who comes.

A school business manager or CPD lead takes the places. Finance raises the purchase order, sometimes days later. Which teachers go is settled last, and can change the week before.

A school’s record: its staff, orders, registrations and private INSET dates.
Places now, names later

The booker takes four places on a March twilight and adds the teachers once cover is arranged. If someone is off sick, they swap in a colleague themselves. Afterward they can see who attended and download each certificate. Group registration

An invoice with the PO on it

From Pro, the school chooses pay by invoice and enters its purchase order number at checkout, and the number prints on the invoice. On Teams the invoice goes across to Xero carrying that number.

Staff find their own school

Switch on linking by email domain and anyone who books with a westbrook.sch.uk address joins Westbrook Primary. The school’s record then shows everyone it has sent and every order.

Trusts above their academies

Set up a multi-academy trust as a parent organization with each academy beneath it. The academies keep their own staff and invoices, and the trust record sits over them.

INSET in their own hall

A private date is visible only to the school it is for. Add the school as the venue, sell it on invoice, and it shows in the trainer’s calendar alongside your public dates. Private dates come with Pro.

Conference and catch-up

One Saturday in person, then the recordings.

An annual conference is a day of keynotes and workshops, usually on a Saturday, and plenty of teachers who want it can’t give up the weekend. Build it as a blended course: the in-person date first, then on-demand lessons that hold the recordings and slides.

After the day: the sessions they attended, ticked off, and the recordings of the ones they missed.
1

Before the day

Sell early-bird and standard places, with a discount when one school sends three or more teachers. When the hall is full, the waitlist emails people in the order they joined it.

2

On the day

Mark attendance on the register as people arrive. A head of department who booked for colleagues can see who from their school was there.

3

After it

Drip release opens the recordings on the date you set, once they are edited. Access runs for life or for a set time after enrollment, and the certificate follows when a teacher has attended and finished the online part.

You can also sell the recordings on their own, as an on-demand course, to teachers who missed the day. If your association prices training differently for members, see professional bodies for memberships and member discounts.

A brilliant booking system that we have been successfully using for over a year, after realising the features worked better for us than our previous, very well known, event booking system.

Questions

Before you open bookings.

For anything not covered here, chat to us or book a call.

Can a school book places before it knows which teachers are going?

Yes. One group booking holds the places, and the booker fills in the teachers’ names when they know them. Later they can take a name off and put a colleague on, and they see each teacher’s attendance and certificate on the order.

Can schools pay by invoice with a purchase order number?

On Pro and above, yes. At checkout the school picks invoice as the payment method and types in its PO number, which appears on the invoice. Teams adds Xero, so the invoice and its PO number reach your accounts without retyping.

How long can teachers watch the conference recordings?

You decide. Course access can last for life or for a set time after enrollment. The recordings sit in on-demand lessons after the in-person date, and drip release keeps them closed until the date you pick.

Do teachers get a certificate for their CPD record?

Every teacher marked attended gets a certificate by email. On a blended course it waits until they have also finished the online part. Pro adds your own certificate templates and CPD hours awarded automatically.

Can twilight sessions run online?

Yes. Set the date as live online and Cademy creates a Zoom meeting for it. Each teacher is emailed a reminder the week before, again the day before, and once more an hour before it starts. You mark attendance on the register as you would in a school hall.
