🔗 Connect Cademy to NetSuite

Cademy can now connect with NetSuite, so your team can share contact details, course dates and certificate information without copying them across manually.

NetSuite is business software used to manage areas such as accounting, customer relationships and day-to-day operations. If your organisation already uses it, this connection makes selected Cademy training information available to the people working there.

What's new

A Cademy administrator can connect your NetSuite account and choose which information to share:

• Contacts: send new or updated contact details.
• Course dates: share individual scheduled training dates, shown as Occurrences in the integration settings.
• Certificates: send certificate details when a certificate is issued in Cademy.

You can use the areas your organisation needs and leave the others switched off. Your administrators choose where the information belongs in NetSuite and which details to include.

How it works

After setup, Cademy sends new or updated contacts and course dates to NetSuite. Certificate information is sent when a certificate is issued.

The connection works in one direction:

Cademy → NetSuite

Changes made in NetSuite are not sent back to Cademy.

Contacts starts with its switch on in the setup screen. Course dates and certificates start switched off. Your administrator still needs to configure and save the areas you want to use before relying on the connection.

Administrators can check Sync Activity in Cademy to see which records were sent successfully and which need attention.

Why this matters

This is useful when your training team works in Cademy while other colleagues use NetSuite. Sharing selected information gives those colleagues access to training details in the system they already use.

For example, when you issue a certificate in Cademy, its details can appear in NetSuite alongside the relevant contact and training date, once your administrators have set up those links. Your team can then check that information without asking someone to copy it across.

Good to know

• It does not copy your full history. Connecting the app does not automatically send all existing contacts, course dates or certificates.
• It shares training information, not financial transactions. The integration does not sync invoices, payments or Orders as separate records.
• Certificate details are shared, not the PDF. The connection creates or updates a record in NetSuite; it does not upload the certificate file.
• NetSuite records need their own upkeep. Deleting information or revoking a certificate in Cademy does not automatically remove or revoke the record already sent to NetSuite.
• It is currently a beta feature. Custom plans include access by default; the app card is labelled Enterprise. Contact Cademy Support to check availability for your account.
• Setup needs both administrators. Your NetSuite administrator prepares the account, permissions and places to store the information. Your Cademy administrator then connects the app and chooses what to share.

Frequently asked questions

Do we need to use NetSuite?

Only if your organisation wants this connection. It is optional, and Cademy continues to work as normal without it. You need an existing NetSuite account to connect the two systems.

Can we choose which details are shared?

Yes. Your administrators choose which of the three areas to enable and match the Cademy details to the right fields in NetSuite.

Does this keep both systems up to date with each other?

Information travels from Cademy to NetSuite only. Edits made in NetSuite do not update Cademy, and changing the connection settings does not automatically resend your existing records.

Can someone set this up without technical knowledge?

Setup needs a NetSuite administrator. Give them the linked Help Centre guide so they can prepare the account and work with your Cademy administrator to complete the connection.
