🔎 Admin Search and a Customisable Sidebar

Search your Admin dashboard and customise its sidebar menu.

The new Admin search lets you find courses, contacts, organisations, orders and registrations from one search box. You can also find pages, settings, apps and Help Centre articles.

You can now change the sidebar, the menu on the left of your Admin dashboard. Move the items you use most to the top, hide others under More, and adjust the sidebar's width.

Search your Admin dashboard

Open search from any page in your Admin dashboard:

  1. Click the magnifying glass labelled Search at the top of the sidebar. You can also press Cmd + K on a Mac or Ctrl + K on Windows, even when the sidebar shows only icons.
  2. Type what you want to find. Use the examples below to choose what to type.
  3. Click a result to open it. Results are grouped under headings such as Courses, Contacts and Orders.

Search uses the Cademy account you are currently in. The types of records and pages you can find depend on your team role.

Find courses, contacts, organisations, orders and registrations

A registration The registration code, or the name or email of the person attending the course

An order holds booking and payment details. A registration is a person's place on a course. If someone booked for another person, use the booker's details to find the order and the attendee's details to find the registration.

For example:

  • An attendee asks about their booking: search their email address and choose the matching result under Registrations to open their course registration.
  • A customer sends an invoice number: search that number and open the matching Orders result to check the booking and payment details. This also works with Xero invoice numbers saved in Cademy.
  • You need to check a client's organisation details: search the company name and open its Organisations result.

Results can show course images, organisation logos or contact initials to help you identify them. Long names and other details may be shortened in the list. Open a result to see its full details.

Find pages, settings and apps by name

Search can take you straight to the page you need for a task:

Some settings also match related words. That is why typing VAT finds Payments. Opening an app from search does not install it or change your access to it.

Reopen recently viewed records

After you visit a course, contact, organisation, order or registration, it can appear under Recent when you open search. For example, if you leave an order to check a contact, you can reopen search and select that order under Recent without typing its number again.

The Go to group also lists your menu pages, including ones you have hidden from the sidebar.

Type a topic to look for Help Centre articles alongside your other results. Matching articles appear under Help and open in a new browser tab.

For example, if you want to check how VAT is handled, type VAT. You can open Payments to review your settings, or choose a matching Help article to read the explanation.

Open search results with your keyboard

  • Up and down arrows: select a result.
  • Enter: open the selected result.
  • Cmd + Enter on Mac or Ctrl + Enter on Windows: open the selected result in a new tab.
  • Esc: close search.

Reorder, hide or resize the Admin sidebar

The sidebar has a more compact layout. If you check bookings every day, move Orders and Registrations near the top. If you only use Reports occasionally, hide it under More and open it when needed.

Reorder or hide menu items

  1. Click your business name or logo at the top of the sidebar.
  2. Select Customise Menu…. This also works when the sidebar shows only icons.
  3. Drag an item up or down using the dotted handle on its left.
  4. Click the eye icon on its right to hide it. Click the crossed-out eye to show it again. Settings cannot be hidden.
  5. Click Done to close the window. Your changes save as you make them.

When the sidebar is expanded, you can also point to Menu and click the pencil labelled Customise Menu.

Open hidden menu items from More

More appears when you have hidden menu items. Click it to open one of those pages. If the sidebar shows only icons, More is the three-dot icon. Hidden pages are still available through search.

You can also select More → Customise Menu… to change which items are shown.

Resize or collapse the sidebar

On a computer, use these controls to change how much space the sidebar takes up:

  • Change its width: with the sidebar expanded, drag its right edge left or right. Double-click the edge to return to the default width.
  • Show only icons: click Collapse Sidebar near the top. Point to any icon to see its name.
  • Show names again: click Expand Sidebar, below the Search icon.
  • Use a keyboard shortcut: press Cmd + Backslash on Mac or Ctrl + Backslash on Windows to collapse or expand the sidebar. Backslash is the \ key.
  • Fold the menu list: click Menu to hide the list while keeping the current page's menu item visible. Click Menu again to show the list.

Message Us and Help Guides remain at the bottom of the sidebar.

Frequently asked questions

Does hiding a menu item delete anything or stop me using that feature?

No. It only moves the link into More. Your data stays as it is, and you can still open the page from More or search. If you open a hidden page, its menu item appears while you are on that page.

How do I bring a hidden item back or reset my menu?

Open Customise Menu… from your business name or logo. Click the crossed-out eye beside an item to show it again. To restore the original order and show all available items, click Reset to Default. This resets the menu order and hidden items, not the sidebar's width.

Will my changes affect the rest of my team?

No. Your menu order and hidden items are personal to you in each Cademy account. Other team members can choose their own layout.

Will my sidebar look the same on another computer?

Your menu order, hidden items and whether the Menu list is folded are saved to your account. They follow you when you sign in to the same Cademy account elsewhere. The sidebar's width and whether it shows only icons are saved separately in each browser.

Why can a colleague search for contacts or orders, but I cannot?

Search depends on your team role. System Admins can search courses, contacts, organisations, orders and registrations. Course Owners and Facilitators can search courses and use the page and settings shortcuts available to their role. Search does not give anyone extra access.

What should I do if I cannot find a record?

Check that you are in the right Cademy account, then use the type of search shown in the table above. Try a full email address, order number or registration code to narrow the results. Search shows a limited list of matches, so a broad search may not show the record you need. You can also open the relevant page, such as Orders or Registrations, to look there.

Can I find bookings by searching for the course name?

Use the course name to find and open the course. To find an order, use the booker's details, order number or invoice number. To find a registration, use the attendee's details or registration code.

Does search look inside lessons or list each course date?

No. It finds courses by name, but does not search lesson text or list individual course dates as separate results. Open the course to view its dates or content.

Why is there no Recent list when I open search?

Recent records are saved in the browser you used to view them. You may not have a Recent list yet if you are new, have switched browsers or have cleared your browser data. Open a course, contact, organisation, order or registration to start building the list.

Why does Cmd + K or Ctrl + K open a link tool instead?

When you are editing formatted text, such as course content, that shortcut can be used to insert a link. Click the sidebar's Search icon to open Admin search instead.

Does this change what learners see?

No. These search and sidebar changes are in the Admin dashboard. They do not change your public course pages or learners' course content.
