You can now manage your team from a dedicated Users & Facilitators page.
Instead of managing users from a basic list in Settings, System Admins now have a clearer place to view, invite, and manage the people who help run and deliver courses.
This includes System Admins, Course Owners, and Facilitators.
Whatβs new
π₯ New Users & Facilitators page

A new Users & Facilitators page is available from the left-hand menu for System Admins.
From this page, you can see your team in one place, including:
- Name and avatar
- Role
- Status
- Phone
- Last login
You can also search by name or email, filter by role, filter by status, and adjust the table size.
π‘ Pending users are shown straight away

When you invite someone, they now appear in the Users & Facilitators list immediately with a Pending badge.
This makes it clearer who has already been invited and who still needs to accept.
For pending users, System Admins can also resend or cancel the invite from their profile.
π€ Profile pages for each team member

Each user now has their own profile page.
From the profile, you can review and manage details such as:
- Avatar
- Name
- Phone
- Bio
- Tags
- Last login
- Custom fields
This gives your team members a more complete profile inside Cademy.
π Courses, Tasks, and Notes tabs

User profiles include dedicated tabs to help you understand what each person is connected to.
The profile can show:
- Courses β course dates directly assigned to that person
- Tasks β tasks linked to that person
- Notes β notes authored by that person
This makes it easier to see what someone is working on without checking several different areas.
π§βπ« My Profile for every team member
Every user can now open My Profile from the avatar menu in the top-right corner.
Course Owners and Facilitators can update their own profile details, such as their avatar, name, phone, bio, and custom field values.
They can only access their own profile.
π§© Custom fields for Users

You can now create custom fields for Users.
Go to:
Settings β Fields β Users
Use this to store extra information about your team, such as:
- Qualifications
- Specialisms
- Internal reference numbers
- Regions covered
- Availability notes
These fields appear on user profiles and can be updated where permitted.
βοΈ Updated invite flow
The invite flow is now clearer and more consistent.
When inviting someone, you can enter their name, email, phone, and role.
The role defaults to Facilitator, and each role includes a short explanation to help you choose the right access level.
You can also choose whether to send the invitation email.
βοΈ Settings β User Management has been simplified
The old flat user table has been replaced by the new Users & Facilitators page.
Settings β User Management now focuses on:
- User Groups
- Admin Email Recipients
- Invite User
User Groups and Admin Email Recipients continue to work as before.
Why this matters
This update makes it easier to manage the people who help run your courses.
You can now see your team, pending invites, assigned courses, linked tasks, authored notes, profile details, and custom user information in a more complete place.
It is especially useful if you work with multiple facilitators, presenters, course owners, or admin team members.
Good to know
Access depends on role
Only System Admins can access the full Users & Facilitators page.
Course Owners and Facilitators can access My Profile, but cannot browse other user profiles.
Facilitators do not count as paid admin seats
Inviting a Facilitator does not use a paid admin seat.
System Admins and Course Owners continue to count toward your admin seat limit.
